This Privacy Policy outlines how we collect, use, disclose, and safeguard your information when you use our SAAS-based mobile app that connects drivers and service providers with companies that need their services (hereinafter referred to as the "App"). This privacy policy also applies to our website and associated software used by us.

a. User Information: When you create an account or use our App, we may collect personal information such as your name, email address, phone number, and profile picture, licence card number, licence number, licence expiry date, etc
b. Location Information: We collect the device location of drivers. While a delivery run is active this includes background location, collected while the app is not open and while the device is locked, so that the dispatch office and customer can see the vehicle during the delivery and so that arrival and departure times and distance travelled are recorded. Location is not collected when no run is active. See the Background Location section below.
c. Transaction Information: We collect information related to transactions you make through the App, such as payment details and history.
d. Device Information: We collect information about the devices you use to access our App, including device model, operating system, and unique identifiers.
e. Log Data: We automatically collect log data, which may include your IP address, browser type, pages viewed, and interactions with the App.
f. Cookies and Similar Technologies: We use cookies and similar technologies to enhance your experience and collect additional data about how you use the App.
We use the collected information for the following purposes:
a. To provide and improve our services, including matching drivers and service providers with companies that require their services.
b. To process transactions and payments securely.
c. Transaction Information: We collect information related to transactions you make through the App, such as payment details and history.
d. To personalize your experience and offer tailored content.
e. To monitor and analyze App usage, diagnose technical issues, and enhance security.
We may share your information with:
a. Service Providers: We may share your information with third-party service providers who assist us in operating the App, such as payment processors and cloud hosting services.
b. Business Partners: We may share information with business partners who offer services through our platform, as required to facilitate your transactions.

When you use and access our website/app, we may gather personal information about you. While we do not utilize browsing information to personally identify you, we may record specific details regarding your website interaction. This information includes the pages you visit, the date and time of your visits, and the internet protocol (IP) address assigned to your computer/mobile.

Responsibility for App Use: All drivers and subcontractors must ensure they use the SimpleRuns app correctly. This includes entering accurate information and adhering to its guidelines.
Insurance Policies: It is crucial for drivers to keep their vehicle insurance, public liability, workers compensation and goods in transit insurance policies updated. Failure to do so could lead to legal repercussions for the driver and the subcontractor solely without the company or administrator at fault whatsoever.
Licenses and Regulations: Maintaining valid driver licences is essential. Each driver is responsible for ensuring their drivers licence is current and complies with local regulations. Vehicle Compliance
Responsibility for Maintenance: All drivers must take charge of their vehicle's upkeep. This includes regular inspections and timely repairs to ensure safety.
Local Government Regulations: Compliance with local regulations is crucial. This means vehicles should be registered and meet specific standards set by authorities.
Accountability for Information: All information entered into the app is solely the responsibility of the user. This emphasizes the importance of diligence and accuracy in managing their data.
Each of these points highlights the critical nature of accountability in the transport industry. In addition to the aforementioned responsibilities, drivers and subcontractors must also be aware of the potential implications of non-compliance with these guidelines. Not only can inaccuracies or negligence in app usage lead to operational inefficiencies, but they may also result in financial liabilities or damage to the company's reputation. Therefore, ongoing training and regular audits are recommended to ensure that all personnel are familiar with the latest app functionalities and legal requirements. By fostering a culture of accountability and proactive management, companies can enhance safety, optimize performance, and ensure a smoother operation within the transport industry.
When a delivery run is active, SimpleRuns collects location information in the background, that is, while the app is not open on screen and while the device is locked.
This is necessary so that the dispatch office and the customer can see where a vehicle is during a delivery, so that arrival and departure times at each stop are recorded accurately for the runsheet, and so that distance travelled can be calculated for invoicing.
When no delivery run is active, the app does not collect location.
Background collection begins when the driver starts a run and stops when the run is completed.
A driver may withdraw location permission at any time through the device settings. A delivery run cannot be recorded without it.
Drivers may take and upload photographs through the app, including proof of delivery, vehicle registration papers, driver licences, and insurance or compliance certificates.
These images are stored on SimpleRuns servers and are visible to the driver's transport operator and to SimpleRuns administrators. The app requests access to the device camera and stored images only for this purpose.
Where a driver or transport operator is paid through SimpleRuns, we store the banking details required to generate invoices and remittance records, being account name, BSB and account number.
These details are used solely to produce invoices and payment records. They are visible only to SimpleRuns administrators and to the account holder, and are not shared with any third party except where required by law.
The app registers a push notification token with Google Firebase Cloud Messaging so that drivers can be notified of new job offers, job changes and messages. This token identifies the device, not the person, and is deleted when the driver logs out.
Delivery records, runsheets and invoices are retained for seven years, as required by Australian taxation and transport record-keeping obligations.
Location trails associated with a completed delivery are retained for the same period, because they form the evidentiary record of that delivery.
Compliance documents are retained while the person or vehicle remains active in the system, and for seven years afterwards. Push notification tokens are deleted at logout.
A driver, operator or customer may request deletion of their account at any time, at https://simpleruns.com/delete-account/ or by emailing info@simpleruns.com.
On deletion we remove account details, contact information, uploaded documents and push notification tokens.
Delivery records, runsheets and invoices that form part of a business transaction are retained for the period described above, because we and our customers are legally required to keep them.
Information in SimpleRuns is visible to the transport operator a driver works for, to SimpleRuns administrators, and to the customer whose delivery is being performed, limited to that delivery.
We use the following third party services which may process data on our behalf: Google Maps and HERE for mapping and routing, Firebase Cloud Messaging for notifications, Amazon Web Services for file storage, and Xero for accounting.
SimpleRuns does not sell personal information and does not share it with advertisers.
We may update this Privacy Policy from time to time to reflect changes in our practices or for legal reasons. We will notify you of any material changes through the App or other means.
